Finance and Operations Manager

The Finance and Operations Manager oversees all financial operations of the firm, ensuring fiscal health, regulatory compliance, and strategic financial planning in close collaboration with firm Principals and outside consultants when necessary, including Legal and Accounting. This job description reflects the general level and nature of the Finance and Operations Manager position. It is not intended to be all inclusive.

Expected Hours of Work:

The employee will be expected to work 32 – 40 hours weekly and must be available and onsite during the “core” work hours of 8:30 a.m. to 5:30 p.m. Monday through Friday. LMS currently works remotely twice a week per current office policy.

Responsibilities
Financial Management & Reporting: Manages and maintains all financial records, overseeing weekly accounts payable and receivable, cash flow reporting, and bank account reconciliations. Monthly responsibilities include supervising billing drafts and consultant invoices with Project Managers, processing payroll, managing credit card reconciliations, and preparing income statements for Principal review. On an annual basis, responsibilities include preparing the firm's budget, setting billing rates, coordinating year-end materials with the accountant, preparing 1099s and tax returns, and conducting fiscal year cash planning.
Strategic & Advisory Functions: Leads end-of-year bonus and 401(k) profit-sharing analysis, manages R&D and 179D tax credit financial reporting, oversees deferred compensation planning, and works with attorneys and Principals on firm valuation and share transactions. The role ensures compliance with all applicable local, state, and federal financial regulations and serves as the primary resource for staff questions on payroll, reimbursements, and taxes.
Leadership & Operations: Manages all firm insurance policies (professional liability, general business, auto, umbrella, cyber, and workers' comp), oversees charitable contributions, and prepares specialized reports for industry surveys and consultants. Oversees Office Manager and HR & Billing Manager.
Firm Business Insurance: Manage filing and payment for all firm business insurance through outside insurance broker, professional liability, firm auto, business liability, work comp, etc. Prepare, manage and participate in the annual insurance payroll work comp audit. Act as firm representative to maintain and monitor any worker’s comp claim filed by an employee with our worker’s comp insurance carrier. Prepare annual insurance rate renewals for partner review, with support from outside insurance brokers.
Qualifications
7-12 years of experience in accounting in similar capacities in the AEC industry
A professional degree in Economics or Finance from an accredited program.
Familiar with a Network Environment: PC, Microsoft SharePoint and Windows 2003 Small Business Server.
Familiar with various applications, such as Deltek VantagePoint Accounting Program, MS Office, Various Internet Web-Based applications.
Ability to write AI skills and work with AI systems preferred.
Excellent communication, organizational, and management skills.
Self-motivated within a multi-disciplinary team context.
Intermediate Designer or Project Architect (4-8 Years)

Qualifications
4-8 years of professional architectural experience.
A professional degree in Architecture from an accredited US architecture program.
License to practice architecture or demonstrated progress toward licensure is desired.
Well-rounded professional background that includes creative architectural design and documentation experience at all project phases, technical research and detailing.
Excellent communication, organizational, and management skills.
Self-motivated within a multi-disciplinary team context.
Proficiency in Revit, AutoCAD, and presentation graphics software (i.e. Sketchup, Photoshop, InDesign, Illustrator, and hand sketching) is required. Knowledge of Grasshopper and Lumion is a plus.
Knowledge and implementation experience of sustainable design practices; LEED Accreditation is desired.
Construction administration exposure, ability to work with an internal team under the Project Manager and ability to coordinate with consultants is desired.
Familiarity with state and local building codes, and accessibility requirements.
